How to Switch Your Maintenance Reminders to Predictive Send Dates - Mileage Based

If you’re already using maintenance reminders, there’s a new way to make them smarter. With Predictive Maintenance Reminders, reminders can now be based on estimated vehicle mileage, not just fixed days. If you joined Steer before September 2025, you may have "days-based" maintenance reminders. You can switch to predictive maintenance reminders, so you’re sending campaigns when a vehicle actually needs service, making your shop’s communication more accurate and relevant.

Steer uses an intelligent estimation method that utilizes the vehicle's available data, such as the vehicle year and past invoices, to estimate an up-to-date odometer reading.

Step 1: How to Switch On Predictive Maintenance Reminders

  1. Click Here to login to Steer and easily access the settings page for Maintenance Reminders.
    Toggle On Odometer
  2. On the Maintenance Reminders Page > locate the Estimated Odometer Toggle at the Top Right. 
  3. Toggle ON to activate predictive mileage-based sends for your shop(s).
    1. If you have multiple shops on Steer, toggling on predictive sends will enable this feature for all shops under your tenant.
  4. After enabling, set a default Vehicle Usage Category for vehicles lacking invoice data.
    1. This default value will apply to vehicles that do not have a closed invoice associated with them.
    2. If you know that your customers drive more/less than the national average, you can update your default usage value to accommodate.
    3. Vehicles with closed invoices follow Steer's formulas to calculate mileage. Click Here to learn about how mileage is calculated based on vehicle data.

Step 2: Edit Each Maintenance Reminder from 'Days' to 'Miles' 

A new trigger labeled “Miles” has been added alongside the existing “Days” trigger when creating or editing maintenance reminders.

After you turn on the Estimated Odometer toggle, you will need to switch your existing maintenance reminders from “Days” to “Miles” triggers to fully utilize the predictive system.

When you switch a reminder to use miles, we’ll automatically suggest a smart initial value for miles based on the number of days you previously had set. You can always adjust this value as needed to match your shop’s preferences. (A hybrid trigger combining both miles and days will be available in a future update.)


How to Switch from Days to Miles for Maintenance Reminders:

While on the Maintenance Reminders - Tenant Settings Page, where you navigated in Step 1.

1. Click each Maintenance Reminder & scroll down in the settings to update all of your reminders to mileage-based instead of days.

2. Select "Miles" in the Reminder Conditions to update. 

3. Add a value for after how many miles should this reminder be due. Example: due after 10,000 miles.

Where Predictive Maintenance Reminders Will Appear in Steer

The estimated odometer reading attached to your mileage-based maintenance reminders is visible in multiple areas of the platform, providing consistent insight to vehicle usage. The estimated odometer reading is also visible in the campaign building area, allowing your shop to include these estimates when sending campaigns and reminders.

  • Inside each individual vehicle’s internal profile
  • Public vehicle profile

Where to see it:
Open any customer profile on the Customer List page to view estimated odometer values. Click into a Vehicle Profile. Public vehicle profiles also display this information if enabled.

Campaign Builder Integration: Mapping Estimated Mileage to Dates

Within the campaign builder, a new section explains how the predictive maintenance reminders map estimated mileage to predicted calendar dates when enabled. 

This mapping is done behind the scenes and enables campaigns to send notifications timed perfectly as vehicles approach maintenance milestones, making customer outreach more relevant and effective.

Note: The setting for when to send a campaign is still based on a number of days before/after the Maintenance Reminder is due. 

Example: Your oil change campaign is set to send 7 Days Before Due - this means Steer will send the campaign 7 days before the customer reaches the estimated odometer reading, allowing for more concise notifications. 

Where to find:

When building a campaign, look for the 'How this works' text that explains the Mileage to Date Mapping feature in the campaign settings, which highlights how estimated odometer data drives send date predictions.
