This guide explains how to create, configure, and manage organization-wide and shop-specific coupons within the AutoOps Dashboard.

AutoOps Coupons: Need-to-Know Information
Below are key pieces of information to know when creating AutoOps Coupons.
💡✅ There are two coupon types:
> Shop Specific - applies to an individual shop location.
> All-Locations Coupons - applies to multiple shop locations within one AutoOps organization.
💡✅ Only One Active Coupon at a time:
> Only one coupon (whether shop-specific or organization-wide) can be active at a given time across the entire shop/organization.
> If a shop coupon is active, you cannot activate an organization coupon, and vice versa.
> To activate a different coupon, you must first disable the current active coupon.
💡✅ Hard Requirements:
> If you attempt to activate a coupon without coupon codes uploaded, or without the coupon code token in the notifications, AutoOps will prevent activation and display an error message.
💡✅ Coupon Code Configuration:
> Maximum 10,000 codes per single .CSV upload.
> Maximum 10,000 total unassigned codes for any single coupon.
> Once codes are assigned to customers, you can upload more codes, as long as the unassigned limit is not exceeded.
> To keep all coupons unique, do not include previously uploaded codes in any new uploads.
💡✅ Important .CSV Notes:
> Check your file for duplicate coupon codes before uploading. Duplicate codes being uploaded in your file will cause two customers to receive the same code.
> You are responsible for ensuring that each coupon code is unique and that your .CSV meets requirements.
How to Create a Coupon in AutoOps
1. Log in to your AutoOps Dashboard.
2. Under the Scheduling Tool tab.
a. Navigate to the Coupons page.
3. Click +Create Coupon to begin.

You can create either a Shop-Specific (single location) or an All-Locations (if you have multiple shops) coupon.

Fill out the required details to begin creating your coupon:
1. Name the coupon (e.g., "Winter Ready Special").
a. Add a Description (optional).
2. Configure the Scheduling:
a. Set a Start Date.
b. Set an End Date (optional). You can edit the end date later if necessary.
i. Leaving this blank means the coupon has no expiration and will send until no coupon codes are left.
3. Set Assignment Limits (optional):
a. Max Assignments per Customer - the maximum number of coupons that can be assigned to a single customer (e.g., "1").
b. Max Total Assignments - the maximum number of coupon codes that can be assigned in total (e.g., "30" = only 30 customers will receive the coupon).
4. Set Eligibility Criteria (optional):
a. Define Appointment Types and Customer Types that qualify for the coupon.
b. Apply the coupon to all types, or be selective in which customer types and appointment types are eligible to receive the coupon.
c. Example: if the coupon is only applied to new customers and only drop-off appointments; the coupon code will only be sent to New Customers who book a Drop-Off Appointment.
5. Click Continue once you are satisfied with your coupon details.

A confirmation panel will display your selections, review the information carefully. You can click Back to Edit to make adjustments before creating your coupon, or make adjustments later on the Coupon Details page.
Click Create to save the coupon.

The coupon is created as inactive. Before it can be activated, you must upload coupon codes and configure the notification setup. Keep reading to learn how to activate your coupon.
Configuring and Activating a Coupon
Once a coupon is created, you must configure its details and notifications to activate the coupon for use.

To Configure and Enable the Coupon:
Click the arrow beside the coupon you would like to activate (e.g., "Winter Ready Special") to open the details page.

The details page displays the coupon status, coupon code upload tool, and editable configuration details. You can edit the information in this area at any time. Be sure to Click Save after making changes.

Step 1: Upload your Coupon Codes
On the Coupon Details page, locate the Upload Coupon Codes section.
Review the .CSV Requirements to ensure your file will upload:
> Include a column named Coupon Codes.
> Codes may use letters, numbers, and dashes.
> Maximum length: 20 characters.
> Maximum upload size: 10,000 codes.
Important: You are responsible for ensuring that each coupon code is unique and that your .CSV meets requirements.
> Codes that do meet the above requirements will be skipped/not utilized.
> Check your file for duplicates before uploading. Duplicate codes within the .CSV file will be added as duplicates into AutoOps; two customers could receive the same code if this happens.
Once you have checked over your .CSV file to ensure it meets the requirements, you will now upload your coupon codes.
1. Click Upload CSV and attach your file.
2. After uploading, review the valid and invalid codes.
3. Click Save codes.

Next you will configure your Coupon Notifications.
Step 2: Configure Coupon Notifications
Navigate to the Coupon Notifications tab.

AutoOps will copy your existing Appointment Notification Settings you have already configured for your shop. AutoOps will use the default notifications if no custom configurations were made.
Important Note: When a coupon is enabled and assigned to a customer, the coupon-specific notifications override the customer's regular notification setup. Ensure your messages are to your liking.
Coupon Notification messages must contain the coupon code token (:coupon-code) to ensure the customer receives the code. If the token is not entered into the notifications, the coupon codes will remain inactive and coupon codes will not be sent to customers.
1. Click the Pencil Icon to edit each notification type that you would like to include the coupon code.
📈Conversion Tip: Add the coupon code token to all appointment notifications (confirmations and reminders) to ensure your customer receives their code right after booking, and before their appointment date, to increase appointment attendance metrics.

2. Insert the coupon code token (:coupon-code) into each notification you would like the coupon to be included.


3. Be sure to Save your changes.
Next you will Activate your coupon.
Step 3: Activate the Coupon
Once codes are uploaded and notifications are configured with the coupon code token, return to the Coupon Details tab.
In the Coupon Status section, toggle the switch to Activate.

🎉🙌Now that your coupon is Activated, your eligible customers will begin to receive their coupon codes included in their appointment notifications for the lifespan of the coupon.
